TXVS Acceptable Use Policy for Student Computers

Texas Virtual Schools (TXVS) may provide Chromebook computers to qualifying students. These computers are the property of TXVS and must be returned once your student is no longer enrolled.  Before we can distribute your student’s device, please review, sign and return the following Acceptable Use Agreement. By signing this policy, parents/guardians accept the terms and conditions of this policy and shall ensure their student complies with the policy.

When you Receive a Chromebook – First Step 

When your Chromebook is shipped, you will receive an email notifying you that the device has been shipped, along with a tracking number.  When you receive your Chromebook, you will be required to sign for its delivery.  Once you take possession, please immediately refer to the quick start guide included with the Chromebook (placed between screen and keyboard).  Follow the instructions and send a confirmation to techsupport@txvs.org that you have received the computer. 

Acceptable Use Rules  

  1. The Chromebook is an educational tool and must be used in that capacity only.  

  2. You are responsible for the Chromebook and its safekeeping at all times. TXVS is not responsible for lost or stolen Chromebooks.

  3. The Chromebook shall not be used to COPY, DOWNLOAD, UPLOAD, or SHARE any documents or materials in any manner that would violate the intellectual property rights of any third party.  These obligations also apply to any download or reproduction of music files and software applications.

  4. The student is the only authorized user of your assigned Chromebook. Keep your password CONFIDENTIAL.  Students should not share their username or password and should change their password immediately if they suspect someone else knows it.

  5. Do not EAT or DRINK near your Chromebook.  

  6. Avoid touching the screen. When cleaning is necessary, use a soft cloth. Do not use spray cleaners. 

  7. Do not mark the Chromebook in any way with markers, stickers, etc.  

  8. Do not remove labels or asset tags.  

  9. Do not insert foreign objects into openings of the Chromebook.  

Internet Use Rules  

  1. Students agree to use the Chromebook only to access educational content and not to access any content that is illegal or obscene, or to attempt to bypass any security or filtering application on the device.  

  2. The Chromebook issued to the student is property of TXVS and all content (software and Internet usage) will be monitored. Usage that is related to illegal or unethical activities, or a violation of school policies, will be reported to the school administration for possible school-related discipline or, at their discretion, referral to the proper authorities. 

Home Use Rules  

  1. Students are responsible for the care of their Chromebooks.  

  2. Do not leave Chromebooks in vehicles. Chromebooks cannot tolerate extremes in temperature and are targets for theft when left in vehicles. 

  3. Parents/Guardians are encouraged to interact with their students about their work on the Chromebook.  

  4. If a Chromebook is stolen or lost, contact TXVS at techsupport@txvs.org immediately in order for the Chromebook to be traced and disabled.  If you are certain the Chromebook was stolen, report the theft to the police as well.  The asset tag number for the Chromebook will be on the quick start page that comes with your Chromebook – do not discard that information and keep it in a secure location. 

  5. Parents are responsible for the replacement cost of lost Chromebooks or power cords.  

  6. Parents/Guardians are responsible for monitoring his/her child’s use of the Chromebook at home. School policies continue to apply when using the computer online at home.

  7. If a Student’s Chromebook is not properly operating, the student or parent should contact tech support at techsupport@txvs.org. If TXVS or its agent determines that the Chromebook is damaged or not operating properly based on the violation of this policy or the negligence of the student, parent or any individual that the student or parent provided access to the Chromebook, TXVS reserves the right to charge for the cost of the repair or replacement of the Chromebook before issuing a replacement Chromebook or repairing the Chromebook and the Student may be subject to school-related discipline for failing to comply with this Policy.

Return of Chromebook 

When the time comes for your student to unenroll from the school, the Chromebook must be returned to TXVS.  When your student is unenrolled, you will receive instructions and a prepaid mailing label for use in returning the device.  If the Chromebook is not returned, you will be charged for the cost of replacing the device, and your student’s transcript will be held until the device is returned or the replacement cost paid.
